I am glad to report that I have had a good share of positive feedback on the FREE monthly email newsletter I publish. Many people have asked me how I manage to produce a professional looking and interesting newsletter every month. This article reveals some of my “secrets”. The article will give you an insight in the process of producing an email newsletter and you might even find the points I make useful to you should you decide to create a newsletter for yourself.

First of all, why do I go to such trouble every month to publish a newsletter? The reasons are several and the main ones are. 1. The newsletter gives me the opportunity to keep in contact with my clients and prospective clients in a non-intrusive way. 2. By committing to the publication of content every month, I am improving my own professional development. Writing 600 words on a topic really forces me to get my thoughts in order. I believe this exercise allows me to offer an ever improving service to my clients. 3. General public relations. If you are not keeping in contact regularly, people quickly forget about you. 4. Probably the most important, my readers tell me they get value from reading the articles and quotes that are published.

How does the newsletter get pulled together and published? I use a company called Constant Contact to whom I pay a nominal monthly fee. Approx Eur12. Constant Contact offers a whole range of newsletter templates to choose from. I selected a template I liked and customised it for myself by adding in my Company logo, contact details and the sections I wanted in the newsletter. Now each month I log onto the constant contact website, create a new newsletter based on the customised template I initially designed and then add in my own content such as introductory paragraphs to press articles, a quotation or event details I think may be of interest to my readers such as upcoming seminars or Business Book Club meetings.

Who gets my newsletter? This can be a sensitive question particularly in light of the proliferation of SPAM or unwanted email hitting people’s email accounts all the time. I am very sensitive to these concerns therefore the distribution list for the Synergy Coaching Services newsletter is solely made up of (a) people I have met or communicated with directly through my career, (b) people who subscribe themselves to receive the newsletter via the Synergy Coaching Services homepage and (c) clients who request that I add them to the distribution list. On occasion, I will use a copy of the newsletter to follow up with contacts I make during a networking event but will not subscribe these people unless they request it. I also have an “unsubscribe” option at the bottom of each newsletter so people can unsubscribe at any time.

I have opted to publish a newsletter monthly. This time frame seems to work for me as it is not so frequent that people get annoyed at receiving it too often and not too infrequent that it looses its impact. I also make a point to publish the newsletter at the same time each month – on the first of the month or the first working day of the month. This provides discipline for me and I hope provides a sense of consistency for readers.
